We're on the lookout for a dynamic Brokerage Support - Commercial Real Estate ( internally called Client Services Coordinator ) who thrives on providing top-notch support to brokers and clients alike!
The Client Services Coordinator is responsible for delivering exceptional administrative and project coordination support to business units. This role requires a highly organized, detail-oriented professional with strong commercial real estate experience, advanced administrative capabilities, and a high level of technical proficiency.
The ideal candidate will excel at managing multiple priorities simultaneously, tracking deliverables, coordinating projects and marketing materials, and ensuring accuracy across all communications and documentation.
Administration & Project Coordination
Provide high-level administrative and operational support to business units
Manage and prioritize multiple projects, deadlines, and action items across teams
Coordinate and schedule meetings, appointments, and team activities
Oversee CRM database management, ensuring accuracy and organization across multiple audiences
Handle deal processing, transaction support, and invoicing
Maintain files, records, and documentation with a high degree of accuracy and attention to detail
Coordinate and support the execution of marketing campaigns, including scheduling, list management, and reporting
Assist in the development and coordination of proposal materials and client presentations
Create and format professional materials, including presentations, charts, graphs, and Excel-based reports
Edit and proofread marketing and business documents to ensure consistency and quality
Serve as a key point of coordination for client communications and deliverables
Liaise with clients to gather information, schedule meetings, and ensure timely follow-up
Support client-facing initiatives with a high level of professionalism and responsiveness
Provide additional support as needed to ensure a seamless client experience
Ensure quality control by reviewing documents for accuracy, spelling, grammar, and formatting
Marketing & Proposal Support
Conduct basic market and competitor research to support business development efforts
Client Services
Bachelor’s degree preferred (Business, Marketing, or related field)
1+ years of experience in an administrative, coordination, or client services role
Commercial real estate experience would be advantageous but not required
Proficiency with CRM systems and strong overall technical aptitude (“tech-savvy”)
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Exceptional organizational skills with strong attention to detail and accuracy
Proven ability to manage multiple priorities and meet tight deadlines
Strong project coordination and follow-through skills
Ability to work independently with minimal supervision while contributing as part of a team
